POSITION OVERVIEW
The Payroll Service Manager is accountable and responsible for quality service for clients, from implementation to completion of tax filing. This position contacts and assists clients in obtaining information for payroll production and tax related issues; verifies totals, responds to/resolves client questions and problems and delivers quality customer service. The Payroll service manager is also responsible for the timely and accurate filing of manual and electronic returns and performing the research necessary to do so.
The essential functions include, but are not limited to the following:
Work with sales to design and implement client software structure
Load prior wage and company information for successful onboard and training
Continually assist with client training, growth, and identify cross-sell opportunities
Assists clients with the proper set up and functioning of payroll related things such as garnishments, vacation time, insurance and 401(k) deductions
Contact various clients for any missing information for the proper processing of payroll
Make client user changes as authorized by the client, i.e. new employee system access, reports on demand, changing bank account information, etc.
Approve and send daily bank files for direct deposit, tax, fees, and other payments
Review tax data on a daily, weekly, monthly and quarterly basis, performing reconciliations of client data and coordinating resolutions for any discrepancies.
Reconcile service bureau bank accounts and prepare for commission allocation
Compile and review quarterly and annual tax return forms
Communicate with federal, state, and local tax authorities on problem resolution and best practice objectives
Work with Assistant Account Manager for software training and additionally as needed
Perform other duties or special projects as assigned
Enroll new customers in EFTPS and other state e-file programs
Submit Power of Attorney (POA)'s and Electronic File Transfer (EFT) enrollments
Qualified candidates will possess:
High School Diploma or two or more years of office-related experience and/or training; or equivalent combination of education and experience; college degree is highly preferred
Solid understanding of payroll and payroll tax laws required
Proven proficiency in MS Office, data entry, and office equipment (e.g., telephone, headset, 10-key or calculator, computer, FAX machine, printer/copier)
Strong understanding of payroll service bureau client and tax software – Evolution HCM experience a plus
Proven facility in customer service, and problem resolution
Excellent written and oral communication skills
Excellent organizational, planning, and prioritization skills
Excellent interpersonal skills
